Microsoft 365 migrations are routine, but the details decide whether users notice a smooth switch or a week of missing email. Begin with licensing: map every user to the right plan and identify shared mailboxes, which are free and often over-licensed.

Verify the domain and set up identity before touching mail. Decide whether you will synchronize with an on-premise directory or go cloud-only, and enable multi-factor authentication from day one.

Migrate mail in stages, pilot first. Communicate the cut-over date clearly and keep the old system read-only for a defined period. Move files to SharePoint and OneDrive after mail, with a clear folder structure agreed in advance.

Finally, configure security baselines — conditional access, anti-phishing, backup — and train users. A migration is only complete when people are working in the new environment confidently.
