For many Indian businesses, WhatsApp is the busiest customer channel they have, and often the least organised. Salespeople reply from personal phones, conversations disappear when someone leaves, and nobody can see response times.

The WhatsApp Business Platform (the API) fixes that: one verified business number, many team members, automation, and integration with your systems.

How the platform works

  • Business-initiated messages must use pre-approved templates, grouped as marketing, utility or authentication.
  • When a customer messages you, a 24-hour customer service window opens in which you can reply freely.
  • Meta charges per delivered template message, with rates depending on the category and the customer's country; replies inside an open service window are free.
  • Your number has a quality rating. Blocks and reports lower it and can limit how many people you can message.

Connect it to your systems

The real value comes from integration. When a message arrives, the agent should see the customer's orders, open tickets and outstanding invoices. When an order ships, the ERP should send the update automatically. AI can now answer routine questions from your own data and hand over to a person when needed.

Getting started: the setup steps

  1. Verify your business in Meta Business Manager with your legal name and documents.
  2. Choose a phone number that is not already active on the WhatsApp app, or migrate it.
  3. Pick a provider: Meta's Cloud API directly, or a Business Solution Provider that adds an inbox and tools.
  4. Set up your display name and profile, which Meta reviews.
  5. Create and submit message templates for approval; utility templates are usually approved quickly.
  6. Collect opt-in at checkout, on forms and in-store before sending business-initiated messages.

Rules that protect your quality rating

  • Only message people who opted in, and make it easy to opt out.
  • Keep marketing frequency low and relevant; segment rather than blast.
  • Personalise templates with order numbers, names and dates so they are clearly useful.
  • Answer replies quickly. A bot that acknowledges and routes the message is better than silence.
  • Watch the quality rating in WhatsApp Manager weekly and pause campaigns that cause blocks.

Treat WhatsApp like a service desk, not a megaphone. Customers welcome useful updates and quickly block anything that feels like spam.
